How? What? Viva is alive again?

I have to admit — my spontaneous association with Viva leads to the music station of the same name, which I last watched years ago and which was discontinued at the end of 2018, as Wikipedia tells me. I wouldn’t have known. But I’m looking for something else. When I enter Viva in my favourite search engine, the station is still at the top of the hit list despite the setting. But just behind it is Viva from Redmond — Microsoft’s new platform, which is to become the dae facto standard of a market segment that is abbreviated by EPX and called the Employee Experience Programme. I would like to take a closer look at that today.

Working from home or sleeping at work?

I think the introductory question on remote work has been successful. Hybrid work has many people in control, blurring the boundaries between work and home. Instead of travel time, you have more working time, real teams give way to virtual and meetings are sewn together in close time, because you no longer have to go from the meeting room Helsinki on the 3rd floor in building 9 to the Milan area in building 1 to the basement. We leave a conference with the words “sorry, I have to go to the next meeting” and hop into the next virtual room, where we apologise again and say “hello” and a few more words. Shortly thereafter, at least one participant writes in the chat that our microphone is muted.

This brings us back to the video, on the subject of cooperation. In addition to learning and well-being, this is Viva’s central focus. The basis here is teams, the fastest growing and central driving force of Microsoft 365. Viva therefore wants not only to bring these components into a common platform, but also to network the functionality as much as possible. The conceivable combinations are therefore learning new things while working, learning from other learning while working together, unlocking new knowledge through integrated learning, not forgetting well-being in all work and sometimes taking a break.

Beautiful new world?

Well, I think everyone has to decide for themselves. When we work with Microsoft 365, Microsoft just knows a lot about us. When we work, what we do, what we look for, what we write and read, as long as it only happens in this virtual universe. Therefore, in order to provide a platform such as Viva and deliver very accurate information to the user over time, it is important to be aware that usage and usage data is being analysed by Microsoft. This has already prompted data protectionists to do this in the past and has resulted in M365 being classified as non-compliant with data protection.

Back at the Viva TV studio: Who is Viva for?

So yes. Viva TV is back. In the following sequence in a virtual TV studio, Microsoft presents some use cases for exclusively large companies that illustrate the positioning of Viva or have been active in the EPX environment for a long time, or let experts have their say on the topic.

Microsoft also tends to address the larger companies in terms of price, preferably with an E5 plan and currently charges Viva 5 euros on top per month per user.

According to Microsoft’s own formulation, the EPX market segment is still highly fragmented. Companies that are very committed to personnel development find approaches in Viva to improve the integration of tools and know-how. The evaluation of the respective benefits must be carried out individually. Currently, the platform is also being strongly promoted by Microsoft, so that new interesting possibilities can arise.

How do I integrate employees without a computer workstation?

I have not found an answer to this question in the whole 30 minutes. There is always talk of shop workers, but how do I transport the information there, how do I bring Viva (life!) to them? I think I’ll have to do some research on that. On the other hand, I do not have to dig too deep, because we have covered these issues well with the baliosoft products. Employee app, ad screens, as well as bs one: portal and bs one: workplace also bring information into the middle of (work) life, so to speak.

For reliable/consistent synchronization with metadata and useful additional features (e.g. email archiving from Outlook to the SharePoint library), you will get a third-party tool.

If deactivation is desired, please proceed as follows:

1) You can deactivate synchronization at the document library level via library settings:

I would like to introduce you to Kathrin. Kathrin works in a medium-sized company called Spectrum Inc and has a computer department that has “booked a plan” at Microsoft based on current conditions and information researched on the internet.

Now at Kathrin’s workplace there is Teams installed and it starts every time the PC is powered up. She has also received some meeting requests, made ad hoc video calls and seen that new teams are obviously forming at the left edge of the screen — almost every day the list grows. There is also talk of channels.

Somehow, she finds the user interface confusing. Finally, she waited for an information and at some point asked her colleague where it would stay. He then said “I sent you that in the team.” By the time she found it, the info had already lapsed. So now she had two places where information was stored on the same subject. This annoyed her, because Teams should help organize information and find content everywhere. But somehow it didn’t work.

What Kathrin has already stated: If the network strikes, nothing works. Teams notizes: They are offline. Rien ne va plus, finito, game over. No content, no chats, no channels.

So after Kathrin has gained her first experiences, she would really like a training. Unfortunately, there was only one non-binding information from the computer. “The application is intuitive” — that didn’t really help. Good — then just self-study in the home office.

The secret: Slash!

Kathrin’s colleague Alfred has been working with Microsoft Teams for a long time and has become an in-house insider tip. He always tells everyone who has questions about Teams: Did you ask the slash? He always smiles meaningfully. When she first heard this answer, she looked at him in disbelief: “The slash?” Alfred said: “Enter the slash at the top of the search box. Then you know what I mean. ”

Said, done. The result is surprising:

Even if Kathrin can’t quite assign everything exactly at the moment, this tip helps enormously in structuring the information managed by teams.

The Access: Teams Versions

Teams is an online application. This means that all content is in the cloud, i.e. in Microsoft 365. There is a desktop client, but it is useless without cloud access.

The idea of integration

Teams is often used for chat and video communication. However, the range of services is completely different that these two functions only exploit a fraction of the capabilities. The Team idea is that a variety of functions can be provided or integrated under a common roof, so that Teams workspaces can be optimally designed according to the task to be solved. External applications can also be integrated, but users has no longer to log on. The respective Teams workspace appear as one.

The user interface

The user interface in the main window (hereinafter 4) differs depending on the application selected.

  • App Navigation — The app navigation at the left edge of the screen contains programs and modules. These are compiled by the user or specified by the administrator.
  • The Teams View — Shows the teams and channels. Microsoft Teams provides a two-tier hierarchy. The layer marked with a small square is the team, the underlying layers are the channels.
  • Horizontal navigation — This navigation provides the functionality that technologically supports the team’s work. These menu items can be expanded similar to app navigation (1) and restricted to certain items (for example, a list).
  • The Workspace — Workspace is the main view of Teams. Here the contents of the selected area / menu items are displayed. These are, for example, the chat window or the video view of the participants in video calls, contacts or the overview of items in linked applications. This view typically collects, changes, or deletes data.
  • Search bar / Program settings — In the search box, the full-text search is started in Teams. All content that Teams find about the captured search term is displayed. Very useful here is the slash (/). When recording, a menu of the available search areas opens (see history above).
