Dario Wieland has been working as a digital­ization consultant in the fiduciary environment for many years. The company has already developed process optimization solutions for customers. Not only for larger SMEs, but also for smaller SMEs and fiduciaries with fewer than 10 employees. Since 80% of SMEs have fewer than 10 employees, individual devel­opment is therefore uneco­nomical. What is needed are modern tools that enable effective document management in conjunction with centralized task and deadline management, but are also cost-effective.

bs one tax — the standard solution for trustees and tax consultants

With the help of bs one: tax, distributed infor­mation can be centralized inter­nally and processes in the trust company can be standardized. Since infor­mation and tasks are centrally available in one place, each employee knows what they need to do and when, admin­is­trative effort decreases, and the trans­parency of work processes increases.

Knowledge management is also simplified, as all legal require­ments and statutory as well as technical changes can be made easily acces­sible to employees.

The central platform also makes it possible to digitize and automate the exchange of documents with customers and thus offers great potential for increasing efficiency.

As a service provider for their clients, trust companies must review and process a large number of documents in a timely manner. However, the clients who provide the documents sometimes lack the expertise to know which documents are actually required. This leads to missing documents for the prepa­ration of annual financial state­ments or tax returns, which then need to be requested again via email or phone. This not only creates unnec­essary admin­is­trative work but can also take a lot of time. The platform with workspaces for individual clients signif­i­cantly simplifies collaboration.

The solution is set to be imple­mented in spring 2025 at the Swiss trust company across four locations. Since digital trans­for­mation does not have a set end date but rather contin­u­ously optimizes processes in itera­tions, Wieland Business Solutions GmbH follows a step-by-step approach, as they do in all projects, and supports the client with the necessary change management.

The kickoff for further projects has already taken place

At the beginning of 2025, Wieland Business Solutions GmbH plans to launch another project – this time in the construction sector. In the construction industry, project, document, and task management are key issues that, especially in smaller companies, still show signif­icant deficiencies.

Microsoft plays a central role in IT in that sector, as in almost all companies, especially when it comes to email, office software, and increas­ingly commu­ni­cation via MS Teams. However, the benefits that Microsoft technology offers companies for optimizing their processes are rarely realized, due to the lack of apps that can be imple­mented in a ‘plug & play’ manner.

Dario Wieland is convinced that bs one fills a gap, which will signif­i­cantly drive forward digital­ization in SMEs.
